Description

As the title implies, an office assistant assists in an office. The assistant will handle incoming phone calls and messages and will perform filing duties. The office assistant may be called upon to assist in typing memos and letters and transcribing hand-written notes as well, so some degree of typing proficiency is required for this job.

Additionally, the office assistant helps keep the front office organized and tidy. The assistant may also be called upon to perform routine errands for executives and administrative staff on a typical workday. This can include important tasks like delivering or picking up documents, making bank deposits or menial task such as securing lunch for the office on busy days. The office assistant will also normally track the use and inventory of basic office supplies and may be called upon to make regular store runs to replenish these supplies.

Responsibilities

  • Open, sort and route incoming mail, answer correspondence and prepare outgoing mail;
  • Complete and mail bills, contracts, policies, invoices and checks; 
  • Compile, copy, sort, and file records of office activities;
  • Answer phones, direct calls and take messages;
  • Operate office machines; photocopiers and scanners, facsimile machines, voice mail systems and personal computers;
  • Take occasional sales;
  • Update social pages;
  • Run errands

Qualifications & Skill Sets

  • Familiar with Google For Business and Office “Type” Software;
  • Proficient typist good spelling and grammar;
  • Pleasant Phone Manner Ability to think on feet;
  • Self starter, motivator and forward thinker.
